It does the part that always slips

Every dispatch house knows it should be contacting more carriers. Almost none of them do it consistently, because the day fills up with loads that are already booked. FleetIQ is the part of the job that has no urgency until it is too late.

Connect the mailbox it sends from

A real mailbox you own — on your US company’s domain, or a Gmail that signs as it. The carrier should see the same US company in the From line, in the signature and in the postal line at the foot; replies land back in it, and your sending reputation stays yours.

Gmail needs an app password rather than your normal one, and FleetIQ walks you through making it.

Tell it who you are and what you charge

Company name, the person it signs as, your fee, and your US company’s postal address. It writes as a carrier sales rep for your house — never as a dispatcher, because winning the carrier and dispatching them are two different jobs, done by two different people.

Your freight side almost certainly runs through a US company. That is the one FleetIQ writes as, and its address is the one on every email — a US carrier should never be reading a foreign address at the foot of a cold pitch.

How you work, what you are good at, the answers you give to the questions every carrier asks. Everything the agent says is grounded in this, which is what stops it inventing a service you do not offer.

Add carriers and set the hours

Import a list or add them as you find them. Outreach only goes out inside the window you choose, in the carrier’s own timezone — replies are still read and answered at any hour.

Why they are not the same email twice

The greeting, the opening angle, the order of the argument and the sign-off are all drawn separately, and a line it used recently is not used again. Two carriers on your list do not get the same paragraph with the name swapped — which is what makes a sequence look like a mail merge, and what gets it filed as one.

What lanes you cover, do I have to take every load, how fast do I get paid, what paperwork you need. It answers from your Brain, in your words, and it does not guess at anything you have not told it.

Recognised as a commitment, held, and raised with the person who owns the agent — instead of sitting in a thread nobody reopens.

Not interested

Acknowledged politely and the carrier is left alone. Nobody gets a fifth follow-up after saying no; that is how a domain gets blocked.

Anything about money — a rate, a discount, a deal — is handed straight over; the agent has no pricing authority and is stopped before it can invent one. The handover goes to the teammate whose agent it is, not a shared inbox, and they pick up a conversation already warm.
